Checking in, asking about availability:

This template has been provided by Kyra Gustwick, Virginia-based photographer.

To all our amazing vendors,

We hope everything is going well with all of you, and that all of you are safe and healthy.

(Partner 1) and I have discussed the recent news in regards to the coronavirus and how would it affect our wedding scheduled to take place on (date) in (location). Since we don’t know much about what’s going to happen in the next few months, we are writing just to inform you that we have thought about postponing or rescheduling our wedding if things don’t get any better. It has been advised that social gatherings such as weddings are to be avoided, and we are thinking about the wellbeing of all our family and friends during this confusing time.

For now, we will continue to monitor the situation and keep you all updated on our decisions. Please let us know if any of the things said above would affect our signed contracts. If there would be refunds of retainers or not, etc.

Hopefully, this virus will die down and things would be better soon. We just want to be prepared, and we appreciate every single one of you!

Thank you so much for your understanding & stay safe!

Best regards,
Partner 1 & Partner 2

If you’re ready to start the rescheduling/postponing process:

To all our amazing vendors,

We hope you are all doing well and we are sending all the love & healthy thoughts we can your way.

With everything going on and continued danger warnings against hosting any kind of social gathering, we have come to the difficult decision of postponing our wedding to prioritize the safety of our beloved guests, our amazing families and our incredible wedding party.

We have talked to our venue about possible new dates, and we are now looking to get this all figured out with our dream team (AKA YOU). We adore each and every of you and we would love to try and make this new date happen with as many of you as possible, but we also understand if it doesn’t happen this way.

We’ve created this Doodle Poll* [[link here]] for you to let us know what dates you are available, and we appreciate your patience and kindness in this craziness! We really do hope to find a new date that works for everyone, but if you are unavailable we would also be happy to hear any recommendations for replacements that you can share.

We can’t wait to hear from you,

 Partner 1 & Partner 2

*Doodle polls will help cut down on the back and forth. You could also use Google forms or something similar!
